Job Description:

The Georgia Department of Public Safety (DPS) oversees the day-to-day operation of the Georgia State Patrol (GSP), Capitol Police and the Motor Carrier Compliance Division (MCCD). We currently have an opening for an Executive Administrative Assistant 1 in the Capitol Police Division.

 

The Capitol Police Division consists of sworn law enforcement officers who have the primary responsibility of protecting life and property, preventing and detecting criminal acts, and enforcing traffic regulations throughout Capitol Hill. This includes the apprehension of criminals, traffic enforcement and protection of public and building security in the Capitol Hill area.

 

Under general supervision, this position provides executive level administrative support to the Director of the Capitol Police Division and secretarial support to the other officers and employees in the Division.

 

Key responsibilities:

 

  • Conducts extensive research to compile information needed to generate reports, complete projects and accurately respond to questions and concerns
  • Analyzes problems, questions, issues, etc. and develops and reports recommendations for resolving them
  • Assists the Director in organizing and executing routine activities and special projects
  • May act as liaison with outside organizations to gather or report program-related information
  • Organizes and coordinates the efficient function of the program or agency
  • Plans and coordinates meetings, conferences, seminars and travel calendars
  • Provides program, administrative, and/or technical assistance to customers and staff
  • Researches and resolves detailed program or client issues/questions and prepares documents
  • Researches and/or resolves program or client issues or questions. May represent the manager in various matters

 

Qualifications - External

Bachelor's degree in business administration, communications or a related field from an accredited college or university AND Three years of office administration or senior secretarial experience, or equivalent combination of experience, education, and training.

 

 

Preferred Qualifications:

  • Knowledge and experience in the use of the Internet; E-mail; Microsoft Office Suite, particularly Word, PowerPoint, Excel and Access.
  • Successful experience providing administrative support for a unit that included dealing with issues, situations and documents of a sensitive and/or confidential nature.
  • Experience in an office setting with excellent customer service skills.
  • Experience composing and formatting correspondence and other documents.
  • Good time management skills and the ability to juggle multiple responsibilities.
  • Ability to use discretion, diplomacy, sound judgment and the ability to solve problems independently.
  • Experience in senior level functions such as research and interaction with senior level management.
  • Experience in preparing meeting agendas, and planning meetings and managing calendars.
  • Preferred 2-3 years of executive level experience.
