Salary minimum: $31,500.00

 

POSITION SUMMARY

Serves as a Project and Data Analyst for the Department’s electronic system (EPORTS and the Online Log), cross-trained for back-up resourcing, and under supervision of the Attorney Manager.

ESSENTIAL FUNCTIONS

 

Primary Responsibility: Analyses

  • Analyses of individually coded requests, of a large daily volume from various external sources seeking administrative, operational, civil, and criminal records, for the Unit’s second-line determination of proper coding the subject matter, and redirecting priority, unusual, difficult, and confidential requests to the Attorney Manager, within the same business day of receipt.

 

  • Data entry of the coded requests via the Department’s electronic system (EPORTS and the Online Log) for recognition by the system and distribution to Records Analysts for deadlines established by state law.

 

  • Serves as the first tier Online Log help desk for Records Analysts and the second tier EPORTS help desk for external customers, for problem-solving and recognition of when to escalate and transfer a problem to the Department’s Technology Unit or the Attorney Manager.

 

  • Recognizes, reviews, and provides good communication of information, updates, and proper responses to questions of stakeholders for effective systems operations, to include tracking any designated request and corresponding response(s) via EPORTS or the Online Log.

 

  • Cross-trained and serves as a backup Open Records Analyst as needed, to include distribution from and utilization of EPORTS and the Online Log; evaluating new requests and seeking any clarification from requestors; determination of, communications with, and tracking collection of responsive documents from the internal source(s); redaction of protected information; determination of appropriate costs; and timely responding to requestors with available, releasable, responsive documents and a corresponding invoice.

 

  • Cross-trained and serves as a backup Open Records Coordinator, as needed.

 

Secondary Responsibility: Customer Service, Clerical Work, Computer Skills & Organization  

  • Provides quality customer service, including providing accurate and timely information to inquiries from internal and external customers.

 

  • Assists with walk-in customers

 

WORK ENVIRONMENT

Work is performed primarily in office, regular business hours Monday through Friday. The following factors contribute to creating stressful and demanding working conditions:

Minimum Qualifications: Bachelor’s degree in a related field from an accredited college or university OR Associate’s degree from an accredited college or university AND two years of related experience OR three years of related experience.

 

Computer Skills: Ability to operate multi-function copier to scan and email documents. Ability to operate standard Microsoft Office software programs, including Microsoft Office. Ability to operate specialized software to review requests, upload, redact and release documents.
